How the Automation Comes Together

A get-customers webhook pulls rows from the Customers sheet where status=pending, then a send-email webhook maps Name/Email/Service Slug/Status, renders the HTML invite in a Code node, and sends it via Gmail.    

Incoming replies hit a public chatTrigger webhook, pass through Sentiment Analysis, then route to one of three AI Agent prompts with a 50-turn memory window; each agent responds via a Respond to Webhook node.  

When the chat ends, the workflow POSTs to /reviews and appends Date, Name, Stars, Notes to the Reviews sheet; the agent prompt also supports emitting a single !notify_management line on 1–3.

Role Instructioning → You’re a clear, approachable feedback bot. Write in your own words, mirror the user’s tone, and keep replies to 1–2 sentences.

Content Constraints → No JSON, quotes, or brackets. Ask each step once, don’t repeat the same sentence, and send the review link only once per session.

Structural Prompting → Forward-only flow: NAME → SATISFACTION → FEEDBACK → RATING (1–5) → REVIEW → END. Rebuild the current step every turn; if history is unclear, resume from the earliest unfinished step.

Tone Conditioning → Friendly, brief, and empathetic. Match positive energy for praise; use gentle language for issues; acknowledge clearly before moving on.

Output Formatting → Output only the next assistant line. When rating is 1–3, also output a single control line: !notify_management rating=<1|2|3> service=<known_or_unknown> summary=<short_reason>

Input Referencing → Normalize and read both user + assistant history (case-insensitive, trimmed). Track name, satisfaction, praiseCaptured, issueCaptured, rating, reviewLinkSent. Use a service-specific review link or fallback; resend only on request; if off-topic, answer briefly then continue the current step.

Will it repeat or spam messages?

No. The bot runs a forward-only flow, asks each step once, and won’t reuse the same sentence back-to-back. The review link is rate-limited with a reviewLinkSent flag, so it’s only sent once per session.

What happens if someone gives a low score (1–3)?

It asks what went wrong, acknowledges, then ends the chat and emits a single escalation line (!notify_management …) for your team to pick up. No review link is sent on 1–3.

What data is saved?

Name (if provided), satisfaction flag, rating (1–5), a short praise/issue note, whether the review link was sent/ clicked, and the chat transcript. It’s logged to your sheet for reporting—nothing extra beyond what the user shares.
