Built for Ops & CS teams
Do you spend hours chasing feedback, copying links, and sorting replies by hand? Is it hard to keep tone consistent and make sure low ratings reach the right person fast?
This workflow sends a two-minute chat link to each pending customer, runs a forward-only conversation to capture a 1–5 rating, branches on the score, and shares the correct review link per service. Each submission posts to /reviews and appends Date, Name, Stars, and Notes to Google Sheets, and the customer’s row is flipped to done so you never double-send.

Scores 1–3 collect a short note and wrap. A 4 asks what would make it a 5 before sharing the review link. A 5 shares the link immediately. The chat uses a service-specific review URL when available and falls back to a default when it isn’t.

Each run starts from the /get-customers webhook: it reads Customers with status=pending, sends the invite via Gmail, then flips the row to done. The chat runs forward-only (one reply at a time). Every submission hits the /reviews webhook and appends Date, Name, Stars, Notes to the Reviews sheet.

get-customers webhook pulls rows from the Customers sheet where status=pending, then a send-email webhook maps Name/Email/Service Slug/Status, renders the HTML invite in a Code node, and sends it via Gmail. Respond to Webhook node. /reviews and appends Date, Name, Stars, Notes to the Reviews sheet; the agent prompt also supports emitting a single !notify_management line on 1–3.
Runs the workflow, branches on ratings, retries, and connects services.
Sends clean escalation emails and summaries to the right managers.
Interprets replies, extracts ratings, and writes friendly, on-tone messages.
Stores service links, owners, templates, transcripts, and click logs.

No. The bot runs a forward-only flow, asks each step once, and won’t reuse the same sentence back-to-back. The review link is rate-limited with a reviewLinkSent flag, so it’s only sent once per session.
It asks what went wrong, acknowledges, then ends the chat and emits a single escalation line (!notify_management …) for your team to pick up. No review link is sent on 1–3.
Name (if provided), satisfaction flag, rating (1–5), a short praise/issue note, whether the review link was sent/ clicked, and the chat transcript. It’s logged to your sheet for reporting—nothing extra beyond what the user shares.
This feedback and reviews automation is ready to use and easy to adapt. You can swap in your own prompts, set per-service links, tune the thresholds, and have it running for your brand across locations without extra overhead.
If you’re tired of chasing replies, missing low-rating alerts, or copying links by hand, this gives you a better way forward—consistent follow-ups that turn happy clients into public reviews and send detractors to the right owner.
The system is already built. Copy it, make it yours, and start collecting more reviews with less effort and more visibility into what’s working.
